  • Overview

    We are currently seeking an experienced Receptionist to provide high-level front desk administration and customer service support. As Receptionist you will be the first point of contact for our company. Duties include but are not limited to offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Ideal candidate must have demonstrated experience in a similar role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role requires a flexible schedule. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.

    Responsibilities

    • Greet and welcome guests as soon as they arrive at the office
    • Direct visitors accordingly
    • Answer, screen and forward incoming phone calls
    • Ensure reception area is tidy and presentable
    • Provide basic and accurate information in-person and via phone/email
    • Receive, sort and distribute daily mail and package deliveries
    • Maintain office security by following safety procedures and controlling access
    • Order front office supplies and keep inventory of stock
    • Update calendars, schedules meetings, books meetings rooms, handle any special requests
    • Keep updated records of office expenses and costs
    • Perform other clerical tasks including data entry, filing, photocopying, and faxing
    • Create a great first impression and interface in a professional and positive manner while greeting clients and vendors both in person and over the phone including managing the visitor registration process
    • Respond to staff needs in a timely and effective manner
    • Flexibility with early morning starts if early meetings are booked
    • Handle food deliveries, setting up and taking down for catered lunches, and kitchen oversight
    • Maintaining employee records
    • Updating HR databases (e.g. new hires, separations, vacation and sick leaves)
    • Collaborate with the Recruiter to post job ads on careers pages and process incoming resumes
    • Answer employees queries about HR-related issues
    • Performs other duties as assigned

    Qualifications

    • Proven work experience as a Receptionist, Front Office Representative or similar role
    • Proficiency in Microsoft Office Suite and Outlook
    • Hands-on experience with office equipment (e.g. fax machines and printers)
    • Professional attitude and appearance
    • Solid written and verbal communication skills
    • Ability to be resourceful and proactive when issues arise
    • Excellent organizational skills
    • Multitasking and time-management skills, with the ability to prioritize tasks
    • Customer service attitude
    • High school degree; additional certification in Office Management is a plus
    • Qualified Applicants must be legally authorized for employment in the United States.
    • Typical office environment working with computers and remaining sedentary for long period of time.
